Duties & Responsibilities / Requirements

Preconstruction Administrator is responsible for the management, coordination, organization, timely submission, and data entry of necessary information needed for pre-qualifications, bids, prime contracts and special project items:

 

  • Support preconstruction team (Design, Purchasing, and Estimating) and perform as liaison between the Sales team, Estimating team and Director of Preconstruction.

  • Review, file and organize preconstruction documents 

  • Serve as leader of Building Connected (bidding platform), which includes soliciting vendor/subcontractor pricing & updating/organizing the database

  • Download, organize and maintain preconstruction files

  • Prepare and review all documents for signatures as well as assisting with updating bid schedule

  • Update and track bid schedule in Building Connected and Smartsheet; keep current lists of all projects currently in progress and completed projects over last 5 years

  • Request and supply required documentation for all Certificates of Insurance and ensure that we are up to date on all COIs for each project/customer

  • Work with the sales team to fill out and compile prequalification forms

  • Identify any applicable minority requirements and ensure that the project’s criteria are achieved

  • Confirm pre-qualification standards and ensure requirements are clearly documented and continuously updated as needed

  • The ability to understand and interpret project specifications and addenda to ensure estimators have current/updated specs

  • Ensure the completed bid forms are compliant with the given specifications

  • Perform evaluation of bid deadlines and certify timely submittal

EDUCATION, TRAINING, CERTIFICATION AND EXPERIENCE

 

  • Minimum 5 years or equivalent work experience in construction; experience in modular construction not required, but helpful

  • Good knowledge of Building Codes, Construction, Estimating and Materials

  • Able to visualize details of construction three-dimensionally

  • Decipher the specs and drawings of a bid

  • Skills in:

  • Blueprint reading

  • Bid spec comparison

  • Accuracy/attention to detail

  • Confidentiality

  • Teamwork abilities

  • Able to create, interpret, analyze and understand calculations at an elementary algebra level pertaining to estimating cost spreadsheets

  • Some financial background preferred but not required

  • Competent writer of business quotations, proposals and letters

  • High School diploma or GED with some College preferred 

  • PC proficiency in a Windows environment, experience with SmartSheets and Salesforce a plus

  • Valid driver’s license and able to travel to destinations within the USA and abroad

  • Proficient in reading, speaking, and understanding verbal and written English. Second language is a plus 

 

Standard hours are between 7AM and 3:30 PM, Mon-Fri
